Job Overview:
Under the direction of the Director of Community, Culture and Heritage (the “Director”), the Cultural Centre Administrative Assistant will be responsible for performing the administrative functions for the Culture & Heritage Centre (the “Cultural Centre”) which will include greeting members, stakeholders, contractors, and colleagues, completing bookings, fielding inquires, ensuring that all members, stakeholders, contractors, and colleagues feel welcomed and comfortable in the Centre and possessing an understanding of the community’s culture and history.
Duties & Responsibilities:
- Assist the Director of Community, Culture and Heritage (the “Director”) with the day-to-day operations of the Cultural Centre.
- Support the Culture & Heritage department and committees in the administration of cultural workshops, programs and events, such as Mawiomis/powwows, facility rentals and catering.
- Support the Culture & Heritage department in ensuring that the Cultural Centre is maintained and safe for customers, employees and visitors.
- Promote Wagmatcook Cultural and Heritage Centre as a destination.
- Provide excellent customer service to visitors, clients and suppliers of the Cultural Centre. Provide general knowledge of the history and culture of the community and the Cultural Centre, when requested.
- Respond to general inquiries from visitors, community members, stakeholders, contractors, and colleagues as required, providing accurate information and using a professional and courteous manner.
- Direct specific inquiries to the appropriate staff member.
- Provide information to the Director in a timely manner.
- Schedule meetings, record, prepare and circulate minutes of meetings, including any follow up items.
- Assist the Operations Manager with payroll, as required.
- Assist the Operations Manager with the various Cultural Centre departments, as required.
- Receive payment for telephone bookings, as required. Provide notice of payment and receipts to the appropriate staff member.
- Complete office supply orders.
- Assist in the Gift Shop as required.
- Maintain privacy and confidentiality, through proper handling of information and secure filing of documents.
- Participate in training and safety programs.
- Maintain privacy and confidentiality.
- Adhere to all Wagmatcook First Nation policies.
- Adhere to all Occupational Health & Safety policies.
- Report any incidents or near misses to the Director.
Qualifications and Experience:
- Completion of high school, or equivalent, required.
- Previous experience in an administrative role, two (2) years preferred.
- Previous experience in a gaming environment, preferred.
- Familiarity with Microsoft Office and Google.
- Excellent customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Superior organizational skills.
- Problem-solving and decision-making skills.
- Ability to build and maintain positive interpersonal relationships with guests, community members, stakeholders, contractors, and colleagues.
- Ability to work under pressure.

- Ability to work shift work, including nights and weekends, possibility of overtime.
