Job Overview:
The Executive Assistant will play a key role in supporting the CEO/Band Manager and Council’s strategic objectives. This role will be responsible for maintaining Wagmatcook First Nation Band’s certification requirements, managing stakeholder communications internally, developing and circulating community and staff newsletters, as well as organizing staff and community training and development initiatives. The Executive Assistant will have strong organizational skills, well-developed and adaptable communication skills, both verbal and written, and will be detail oriented.
Responsibilities:
- Provide support in the development, review, and implementation of governance policies and procedures.
- Support the CEO/Band Manager or delegate in the preparation and maintenance of governance-related documents, including, but not limited to agendas, minutes, policies, agreements and document management.
- Oversee projects with funding agreements and ensure reporting requirements are met.
- Support program delivery in various areas such as Communications, Human Resources, or Housing Development.
- Organize and participate in training programs, workshops, and events to enhance the skills and knowledge of staff and community members.
- Foster positive relationships with Council, external stakeholders and partners, volunteers and community members, as well as acting as a liaison between the CEO/Band Manager and internal departments.
- Adhere to all Wagmatcook First Nation and Occupational Health & Safety policies.
- Other related duties as assigned.
Qualifications and Experience:
- Completion of a post-secondary training in a relevant field, or a minimum of five (5) years experience in a related field.
- Previous experience in a First Nations community, an asset.
- Previous experience in planning and/or project management, an asset.
- Effective communication skills, both written and verbal, with the ability to present information clearly and concisely.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Advanced proficiency in using technology for communication, data management, and reporting.
- Demonstrated ability to work collaboratively with community stakeholders.
- Demonstrated ability to maintain strict confidentiality.
